Privacy
Effective 13 October 2026.
This policy covers the PhantomMic app and this website, run by AJ Solutions, LLC. The short version: your clips, recordings, voice and settings stay on your computer. We keep only what an account and its purchases need, we don't sell or share it, and you can download or delete it from your account page.
What we collect, and why
- Your account: your email address and a hashed password (or the id of the Google account you sign in with), when you made the account, and your sign-in security settings (two-step sign-in, passkeys and recovery codes, stored so they can't be read back). To sign you in and keep the account safe.
- Your age, briefly: sign-up asks for your birth month and year to check you're 13 or older. We don't keep the answer.
- What your account has: the features, trials and subscriptions on it, and how you got them. To unlock what you've paid for.
- Your computers: for each computer you sign in, a random id PhantomMic makes, the name it reports, and when it last checked in. While you approve a new computer, the approval page shows the address and country it's asking from. To limit Pro to your computers and let you sign them out.
- Payments: Paddle's references for you and your payments, what you bought, when and for how much. When you subscribe, a record of your agreement to automatic renewal: the words you were shown, when you agreed, and the IP address and browser you agreed from (the law asks us to keep this). We never see or store card details.
- Support requests and emails you send us: what you write and your email address, so we can answer. A request from the app also carries, unless you untick it, what it shows you before sending: PhantomMic's and Windows' versions, your modules, the names of your audio devices, how sound is routed, and recent errors. Your clips, recordings and voice are never included.
- Feedback you send from the app (Settings, Help, Share feedback): what it's about, whether it's a like, a dislike or an idea, your words, PhantomMic's version and your account. To make PhantomMic better. Nobody needs to answer it, so it isn't a support request.
- Technical logs: errors and security events (such as failed sign-ins), which can include an IP address. To keep the site working and safe.
Website usage metrics
We measure visits to public pages, referral domains and playback of the website's feature videos to understand how people find and use the site. We use a daily keyed hash of the connection address and broad browser family to estimate visitors, without keeping raw IP addresses or browser strings in analytics. We don't collect query strings, account identities, account pages or payment activity for these metrics. Referral URLs are reduced to their domain. Video metrics report visible playback time and whether most of a clip was watched; they do not record your screen, audio or other activity. Website analytics records expire after 30 days, or sooner if the storage limit is reached. Analytics stays on our server.
What the app sends
The app talks to us only to sign in, refresh your license (when it starts and every 15 minutes while it runs), read our notices (a message for everyone, a required update, or the free version being switched off), check for updates and download modules or the character voices. Reading notices sends nothing about you. Those requests carry the computer's random id and name, and like any connection they show your IP address. There's no analytics or tracking in the app. Your clips, recordings, voice, the lines you type for Text to Clip and your settings never leave your computer. Crash logs stay on your computer too.
Who else sees it
We don't sell your personal information, and we don't share it for advertising. These services handle some of it for us, only to provide PhantomMic:
- Paddle (Paddle.com), our reseller and merchant of record: your email, country and payment details when you buy, to take the payment, send receipts and handle tax. Paddle's own privacy notice covers what it keeps.
- Resend: your email address and the email's text, to deliver our emails (sign-in links, receipts, renewal notices).
- Cloudflare: carries all traffic to this site and to our download server (so it sees IP addresses), and stores our downloads and our encrypted backups.
- Google, only if you choose "Continue with Google": Google tells us your email address and account id.
- Hugging Face, only if our download server can't be reached when you download the character voices: it sees your IP address, like any download.
The store itself runs on our own server in the United States. We'd also disclose information if the law requires it, or to protect people from fraud or harm.
How long we keep it
- Your account and what's on it: until you delete the account. An account that's never confirmed is deleted after 30 days.
- Computers: until you sign them out, or a year after they last checked in.
- Payment records: seven years, for tax law, without your email once the account is deleted.
- Agreements to automatic renewal: three years, or a year after the subscription ends if that's later (California law). A checkout you didn't finish: 30 days.
- Support requests and emails you send us: two years after the last message.
- Feedback you send from the app: two years.
- Logs: a small rolling log, where new entries overwrite the oldest. Backups: encrypted, kept for up to two months, so deleted data leaves them within that time.
Your choices and rights
- See and download everything we keep about your account: Download my data on your account page.
- Delete your account: Delete my account on your account page. It cancels any subscription at once, and we email to confirm.
- Correct your email address, or anything else: email [email protected].
- Or email [email protected] for any of these, from your account's address. We answer within 30 days, and we won't treat you differently for asking.
Cookies, Do Not Track and Global Privacy Control
This site uses only the cookies it needs: one keeps you signed in, one protects its forms, one remembers for ten minutes that you've just confirmed it's you, during "Continue with Google" one holds Google's answer for a few minutes, and if the age question finds someone is too young to sign up, one stops another try for a day. There are no advertising, analytics or tracking cookies, and we don't track you across other sites. Website usage metrics use no cookies or browser storage and are disabled when we receive Do Not Track or Global Privacy Control signals. The checkout page loads Paddle's payment form, which sets Paddle's own cookies to take the payment securely.
Children
PhantomMic accounts aren't for children under 13, and we don't knowingly collect their information: sign-up asks your age and makes no account for anyone younger. If we learn we have information from a child under 13, we delete it. Parents can email [email protected]. If you're 13 to 17, a parent or guardian must agree to our terms and to any purchase.
Security
Passwords are stored hashed, sign-in can use two-step codes and passkeys, sign-in attempts are limited, the site is HTTPS only, backups are encrypted, and we keep as little as we can. If a breach ever affects your information, we'll tell you as the law requires.
Changes
When we change this policy in a way that matters, we'll email account holders before it takes effect. The date at the top shows the current version.
